In the event of an emergency of any kind, please appraise venue staff immediately.
These sections appear collapsed to help you find the information you are looking for as quick as possible. In the event of an emergency that does not require immediate evacuation, please seek assistance from building staff as soon as possible in the second floor management office, on radio channel 4, or by phone / email.
Awareness & Preparedness
Organizations that anticipate and plan for emergencies have had greater success in addressing and mitigating their impact. We have created this response plan to better prepare our staff and our facility for a variety of emergency situations.
The information in this plan is to be used by the Calderwood Pavilion Manager, Emergency Response Team Members (ERT), Department Managers, and others specifically trained in responding to a disaster or emergency within or near the building.
This document is not meant to stand alone. Staff training is imperative to the safety of everyone in the building during an emergency, and all new building staff members should receive training from an authorized employee before leading an evacuation of the facility, or responding to an emergency.
This plan contains:
Names and phone numbers of people and agencies to call for assistance
Facility drawings showing floor plans, emergency equipment locations, utility shutoffs, hazardous materials storage locations, and stating areas for responders and evacuees.
Procedures developed specifically for the Calderwood
Since this plan is a preparedness document, all sections are intended to be read and understood by building staff before an emergency. Upon the occurrence of a major emergency or disaster, the plan becomes an emergency management guide.
This plan will be reviewed annually to update contact information and protocol if necessary.
This document is designed to supplement existing emergency plans, and act as a guide for searching for the appropriate information.
WHEN TO USE THIS PLAN
This Emergency Response Plan should be used during situations that require immediate response to save lives or property as a result of an emergency or disaster. Consider this plan to be officially activated when:
Serious or life threatening injury occurs
Fire or smoke is discovered in the facility
Evacuation of the facility is required
Natural events such as a storm or earthquake have damaged the facility or threaten the life safety of the occupants
External sources of toxic fumes or smoke from a nearby accident or fire may enter the facility
Whenever the Calderwood Pavilion Management Team believes it is necessary to do so
WHEN AN EMERGENCY OCCURS
Calderwood Staff should work expeditiously to:
Locate and turn on your walkie talkie, and tune to Channel 4.
Eliminate or minimize threats to people, property, and the environment.
Maintain the Calderwood Pavilion and The Huntington’s business operations, reputation, and goodwill.
Record and report accurate information objectively and without delay to the Calderwood Pavilion Manager and Emergency Response Team.

This plan is designed to prepare our employees with a plan to minimize injuries and casualties by training employees, procuring and maintaining necessary equipment, and assigning responsibilities. This document should be used as an outline for training, as well as a resource guide to keep employees informed.
This policy is intended to provide guidance in the event of an active shooter in the Calderwood Pavilion and to comply with applicable regulations of the Occupational Safety and Health Administration (OSHA).
HOW TO RESPOND WHEN AN ACTIVE SHOOTER IS IN YOUR VICINITY
Quickly determine the most realistic way to protect your own life. Remember that customers and clients are likely to follow the lead of employees and managers during an active shooter situation. If possible, evacuation should be your first goal. If you are in an office, shelter in place and secure the door. If you are in a hallway, get to a room and secure the door. As an absolute last resort, attempt to defend yourself against the active shooter. When the shooter is at close range and you cannot flee, your chance of survival is much greater if you try to incapacitate them.
RUN…
If there is an accessible escape path, attempt to evacuate the premises.
Have an escape route and plan in mind Evacuate yourself regardless of whether others agree to follow
Leave your belongings behind
Help others escape, if possible
Prevent individuals from entering an area where the active shooter may be
Keep your hands visible for law enforcement
Follow the instructions of any first responders
Do not attempt to move wounded people
Call 911 when you are safe
HIDE…
If evacuation is not possible, find a place to hide:
Be out of the active shooter’s view
Provide protection if shots are fired in your direction (i.e., an office with a closed and locked door)
Do not restrict your options for movement
Lock the door
Blockade the door with heavy furniture
Silence your cell phone and/or pager
Turn off any source of noise (i.e., radios, televisions)
Turn off the lights, if possible
Hide behind large items (i.e., cabinets, desks)
Remain quiet
Do not open the door for anyone under any circumstances until you are rescued by first responders
FIGHT…
If evacuation and hiding are not possible:
Attempt to remain calm
Dial 911, if possible, to alert police to the active shooter’s location
If you cannot speak, leave the line open and allow the dispatcher to listen
Take action against the active shooter as a last resort, and only when your life is in imminent danger, attempt to disrupt and/or incapacitate the active shooter.
Acting as aggressively as possible toward them
Throwing items and improvising weapons (i.e. fire extinguishers, tools, furniture)
Yelling
Once you have reached this point, you are fighting for your life. Do whatever must be done to stop the shooter and save yourself. Commit to your actions.
Swing a heavy object at their head
Plunge your fingers into their eyes
Strike them in the nose
Kick them in the groin
HOW TO RESPOND WHEN LAW ENFORCEMENT ARRIVES
Law enforcement’s purpose is to stop the active shooter as soon as possible. Officers will proceed directly to the area in which the last shots were heard.
Officers usually arrive in teams of four (4)
Officers may wear regular patrol uniforms or external bulletproof vests
Kevlar helmets, and other tactical equipment
Officers may be armed with rifles, shotguns, handguns
Officers may use pepper spray or tear gas to control the situation
Officers may shout commands, and may push individuals to the ground for their safety
How to react when law enforcement arrives:
Remain calm, and follow officers’ instructions
Put down any items in your hands (i.e., bags, jackets)
Immediately raise your hands and spread your fingers
Keep hands visible at all times
Avoid making quick movements toward officers such as holding on to them for safety
Avoid pointing, screaming and/or yelling
Do not stop to ask officers for help or direction when evacuating, just proceed in the direction from which officers are entering the premises
Information to provide to law enforcement or 911 operator:
Location of the active shooter
Number of shooters, if more than one
Physical description of shooter/s
Number and type of weapons held by the shooter/s
Number of potential victims at the location
The first officers to arrive to the scene will not stop to help injured persons. Expect rescue teams comprised of additional officers and emergency medical personnel to follow the initial officers. These rescue teams will treat and remove any injured persons. They may also call upon able-bodied individuals to assist in removing the wounded from the premises. Once you have reached a safe location or an assembly point, you will likely be held in that area by law enforcement until the situation is under control, and all witnesses have been identified and questioned. Do not leave until law enforcement authorities have instructed you to do so.
STAFF RESPONSIBILITIES
Building Manager
Assign duties to all building staff members.
Maintain records of all trainings and update all training documents.
Serve as main points of contact with local emergency response teams.
Instruct rental clients of the Calderwood Pavilion on these procedures.
House Manager
Review an evacuation plan each day with all ushers interacting with the public.
Prior to each public performance, confirm all paths of egress are safe and free from obstructions.
Set up a full evacuation drill with their team members no less than twice per calendar year.
Serve as the main point of contact with all local emergency response teams any time the Building manager is not present.
Communicate with building staff via radio
Staff Ushers and Event Managers
Ushers should familiarize themselves each night with all possible exits from the space they are assigned to.
Account for all patrons with disabilities, and know all their possible exits.
Evacuate the building as quickly as possible.
If able, safely notify others of the situation and where it is located
If able, make an announcement to all public spaces in the Calderwood Pavilion via the microphone in the 1st floor coat check room
House Production Staff
Be familiar with the building layout, including all emergency exits.
Confirm all paths of egress are safe and free from obstructions at all times.
Evacuate the building as quickly as possible.
If able, safely notify others of the situation and where it is located
Communicate with building staff via radio
BUILDING LAYOUT
Knowledge of the building layout is critical information for a quick and safe evacuation. Atelier 505 is a mixed use ten-story building plus 2 levels of parking below. The Calderwood Pavilion is contained on the first three floors of the building with its main entrance located at 527 Tremont St. The first floor consists of the orchestra levels to the Wimberly, and Roberts Theatres, the orchestra lobby, Box Office, and backstage dressing and green rooms. The second floor consists of the mezzanine levels of the theatres, two rehearsal halls, lobby, administrative offices, and additional dressing rooms. The third floor consists of the Arts Resource Room, an administrative office, and three mechanical rooms.
The Third floor has two emergency exits, in addition to the main staircase, which will bring you to the second-floor rehearsal hallway. Both emergency exits lead to three flights of stairs before exiting onto street level. The door at the end of the Mech room hallway leads to Warren Ave. The door outside of the third-floor office leads to the plaza in front of Picco on Tremont Street. The only rooms in which you can lock yourselves in are the bathrooms, and office. No other doors lock from the inside. With the props keys, you can lock yourself in the Arts Resource Room, Mech Rooms, and 3rd floor lighting booth.
The Second Floor has two emergency exits in addition to the grand staircase which leads to the main entrance at street level. The Emergency exit located outside the Roberts Studio descends to Warren Ave. The Emergency exit located at the end of the Rehearsal Hallway descends to the plaza in front of Picco on Tremont Street. If the rooms are open, you can lock yourself in the studio across from Deane Hall, and all dressing Rooms. If you have the proper keys, you can lock yourself in Deane or Martin Hall, the IDF room, and the Roberts booth. The second-floor office has a door that is primarily made with glass, and is therefore not recommended to hide within.
The First Floor has four emergency exits, in addition to the main entrance on Tremont Street. The backstage hallway ends at the stage door, which leads to Warren Ave. You can also exit the loading doors to get to the loading dock, and an entrance to the parking garage. The Roberts hallway has an emergency exit at the end of the hallway which leads to Warren Ave, and an exit next to the freight elevator with a spiral staircase that leads to the Cyclorama. With the proper keys, you can lock yourself in the box office (which has bullet proof glass) Wimberly Sound Booth, or Sprinkler Room. If the greenrooms, or dressing rooms are open, you can lock yourself inside without a key.
To take cover outside of the building, instruct patrons to enter the Parking Garage from Warren Ave. or the Cyclorama from Tremont Street.

Map of the evacuation route is below. Staging area is out front of the facility, walk to your right toward the BCA Kiosk and you will be directed by staff. Evacuation plans are posted in each of the green rooms that are specific to that space.
Fire Emergencies
CALDERWOOD PAVILION FIRE ALARM CONDUCT
The Fire Alarm panel is located in the box office behind the cabinet doors marked “Fire Panel”
Our fire alarm system is connected to both Atelier 505 and the BCA. Each building is designated as a different NODE. Nodes 1 & 2 are Atelier and the BCA. The Pavilion is NODE 3. Anytime there is a trouble or alarm in NODE 3 it means the problem is our building.
Fire Systems Technology operates our Simplex branded alarm panel. They can be reached at 781-340-4488
What to do if…
…There is an audience in the building (house manager/event manager is present):
Grab a radio and tune it to channel 4
Check in with the house/event manager and follow instructions given
Make sure all people you are directly responsible for/supervising are safe and accounted for.
…You are doing building coverage and you are the only staff member in the building:
Check the fire panel to see where the alarm is located (node 1, 2 or 3). If the problem is in Node 1 or 2, the issue is not in our building. Listen to the voice and do exactly as directed.
Listen to the voice prompt that comes on over the alarm speakers. The voice will say whether an evacuation is necessary.
If the panel says there is a “trouble” please check the Zone in question and call one of the numbers below to report the issue. (See inside fire panel for Zone location)
…If evacuation is NOT necessary:
Be sure to check in with the firemen (either at Atelier or BCA) and have them come over and RESET the alarm panel. You will not have control over any lighting or sound equipment until the panel is reset.
If the firemen leave before you get a chance to check in, please make sure the other building has reset their panel prior to resetting our alarm panel
…If evacuation IS necessary and the problem is in node 1 or 2:
Check all floors and rooms to make sure everyone is out of the building. You should be the last person outside.
Evacuate everyone through the front of the building and await further instructions on the sidewalk in front of The Beehive.
Check in with the firemen (either at Atelier or BCA).
Do not go back into the building until you receive confirmation from the firemen that it is safe to enter.
Make sure the other building has reset their panel prior to resetting our alarm panel
…If evacuation IS necessary and the problem is in NODE 3:
Check all floors and rooms to make sure everyone is out of the building. You should be the last person outside. Please make sure to CLOSE all doors that are propped open.
Evacuate everyone through the front of the building and await further instructions on the sidewalk in front of The Beehive
When the firemen arrive, be sure to check in with them and follow their instructions. The panel should indicate where the problem is located. Please instruct them to that location.
Do not go back into the building until you receive confirmation from the firemen that it is safe to enter.

Fire Prevention
Fire Alarms
This facility is equipped with a Simplex fire alarm system and is directly connected to the Boston Fire Department. In the event of an alarm, the fire department is immediately dispatched, and usually arrives within 10 minutes. The alarm system is inspected in totality by our alarm service provider every quarter. There are two fire stations in close proximity to the Calderwood - Engine 22 located at 700 Tremont Street, and Engine 3 located at 618 Harrison Avenue. The Calderwood Pavilion is in Boston Fire Department District Four.
Our fire panel is a sub-panel of the main control panel, which is located in the lobby of Atelier 505. Our panel is a Simplex 4100U. Any time work needs to be conducted on our panel, Atelier 505 needs to be notified before work can commence. Any time work needs to happen on the fire alarm system at the Calderwood, they need to disable our alarm system. The Calderwood Pavilion is NODE 3. Nodes 1 or 2 are located within the residential or commercial units on the block. The alarm system is broken down into many points, which are listed inside the door to the fire panel.
When the fire department comes, they will often go to Atelier 505 first, and then come to us. In the event of an alarm, be sure to have the Boston Fire Department reset our fire panel so we can continue with normal operation.
The Wimberly is equipped with a particle smoke detection system, along with smoke and heat. These particle detectors emit infrared light, and do not look like a standard smoke detector.
There are 101 smoke detectors and 33 pull boxes in the facility.
Fire Extinguishers
The Calderwood is properly equipped with fire extinguishers throughout the building and is up to fire code. Different extinguishers are in different parts of the building based on the surrounding area. For example, the control booths have fire extinguishers more equipped to deal with an electrical fire rather than a grease fire. All fire extinguishers are inspected yearly, and the inspection log can be found here. Fire extinguisher locations are subject to change within the theatre spaces, as the sets we install vary greatly (especially in the Roberts). These devices always need to be accessible in the event of an emergency, so altering their locations to be more accessible by backstage crew members is important. During any space walkthroughs with stage management or production management teams, be sure to point out the location of all fire extinguishers in the space. Building staff should familiarize themselves with operation of fire extinguishers before the event of an emergency.
Fire Suppression System
In every room, there are sprinkler heads that will suppress a fire in the event they are triggered. These sprinklers are triggered by heat, and not smoke. In most locations, the sprinkler heads are covered in white metal discs that dislodge from the ceiling in the event that the sprinkler head is activated.
The fire suppression also includes the fire curtain. A staple in proscenium theatres since the early 1900s, a fire curtain drops down in the theatre in the event of a fire in the house or on stage to protect people on the opposite side. The Virginia Wimberly Theatre is equipped with a motorized fire curtain from JR Clancy. This curtain is inspected yearly by Calderwood Staff along with our fire alarm service provider (Simplex / Johnson Controls. It is the responsibility of the building staff to ensure that the fire curtain can always create a complete seal once it hits the deck. Items such as scenery cannot impede the curtain’s path of travel. Any furniture that may be temporarily sitting in the path of the curtain needs to be moved immediately by an assigned individual in the event of a fire alarm. The fire curtain is only triggered by the smoke detectors above the stage, and does not automatically fall when the fire alarm boxes are pulled. The curtain can be triggered manually by personnel on either side of the stage DSR and DSL. Reset procedures are available to staff members in case the curtain is tripped.
The liquid in this system comes from the fire pump managed by Atelier 505 / Druker Properties. It is inspected yearly, and we receive a copy of the recertification yearly from Atelier 505.
The main valve for this sprinkler system is located in what we commonly refer to as the concessions closet. We are permitted to store concessions in that closet, so long as they do not block the valve. A 6ft ladder must always be able to access that location. There are additional shutoff valves located in Stair 5 on the 2nd and 3rd floor, directly outside the emergency exits from the Calderwood into that stairwell.
First Aid Stations
The Calderwood Pavilion is equipped with first aid stations in the following locations:
Backstage Hallway across from the door to the Wimberly Green Room, mounted on the wall
Backstage Hallway near the exit to Warren Avenue and into the Roberts backstage area, mounted on the wall
Wimberly Stage offstage left, downstage of the flyrail, mounted on the wall
Coat Check beneath the countertop in the left cabinet
Second Floor Green Room above the water dispenser, mounted on the wall
Anyone in the facility is welcome to use any equipment in any of the first aid stations regardless of employer.
Before cleaning a wound or applying a bandage, wash your hands with soap and water.

First aid kids are serviced by Cintas on as as-needed basis. If you notice there is a particularly low stock of something you needed, please submit a work order so we can refill.
There is not an emergency eye wash station in the facility, but there are eye wash kits in each first aid cabinet.
Inclement Weather Procedures
In the event of a natural or other disaster affecting the facility, here is building-specific information that will help to prepare for or respond to a disaster. This information is written to assist the Calderwood Pavilion Staff in the event of an emergency. If you are In the facility during a weather event, information will be communicated to you via staff members.
Emergency closing will be communicated via email and in-person to those in the facility by building management.
2.1 Hurricane
In the event of an impending hurricane, perform the following precautionary measures to protect staff and the facility:
First, assess the storm. Preparedness levels will be different for different categories of storm, wind speeds, etc. If the storm is expected to die down and become a tropical storm by the time it reaches Boston, then less preparation is required. Real time storm tracking information for hurricanes can be found on the National Hurricane Center’s website and from local news outlets WCVB (ABC 5), WBZ (CBS 4), WHDH (7), and WBTS (NBC 10). Thankfully, in the event of a hurricane approaching the area, we will have enough advance warning to prepare for this disaster.
Preparedness Tasks:
If wind speeds are projected to be >65mph, remove all letters from all four sides of the marquee. These letters can fly off the building and become projectiles.
In the event that extreme winds and rain are expected, consider boarding up the glass doors on the front of the building to protect the glass and box office lobby from rain and flooding. This is an extreme measure that should be taken only in the event of a catastrophic storm.
If some flooding is expected, sand bag the inner box office doors. Given the drain positioning and the angle of the front of our facility, flooding will happen to other facilities on the block before it happens to us.
The stage door does not have a great seal on it, and some water might get in. Given that it’s at the top of a few steps, flooding through this door is less of a concern.
Making HVAC adjustments to protect the building is not necessary. To avoid pressurizing the building, vents should remain partially open to let air to circulate.
Follow storm guidance from the City of Boston and State of Massachusetts regarding businesses being open. General Management makes the decision if a closure is necessary.
2.2 Tornado
Terms - A Tornado Watch is issued when a tornado during a storm is possible. Be prepared to take action, but a tornado has not been spotted in the area. When a Tornado Warning is issued for Suffolk County, everyone in the facility must take immediate action.
In the event of a Tornado Watch, occupants of the Calderwood should review the safety procedures for a Tornado Warning. All exterior doors should be checked they are sealed as best as possible, and are locked. Given the nature of tornadoes, we will not have much advance warning of a tornado touching down in the immediate area.
In the event of a Tornado Warning, everyone must take action and seek safe shelter immediately. Please adhere the following protocols:
Monitor the weather forecast closely. Active weather alerts for Suffolk County issued by the NOAA are available here.
When a Tornado Watch is issued, all Calderwood Staff should get a walkie talkie, and tune to Channel 4 to communicate with other staff members. Immediately notify everyone in the facility of this warning, and begin moving everyone to shelter in place. It is the duty of Calderwood Staff members to check each room of the building so that no occupant is left behind in the event of an evacuation, unless remaining in the facility poses immediate danger to the employee. There is an emergency intercom in the fire panel on the first floor in the box office lobby to assist with notifying occupants.
Evacuate the facility to the lower level parking garage. Do not go outside, or send people home if there is an active tornado warning. Everyone will be safer if they are able to shelter in place. Other people will be sheltering in place in the parking garage, as it is the protocol of Atelier 505, and the shops that lease in that building, to shelter in the same underground location.
To get to the lower parking garages, a key is necessary in some stairwells. The keys for the parking garage level P1 are on the Management Associate’s desk on a white lanyard in small circular mesh basket. The garage is accessible without exiting the building in these two methods:
From the backstage hallway, exit into the loading dock portion of Atelier 505. Immediately take a right turn, and proceed through the first white door on the right and walk down the hallway. At the end of the hall, proceed through the door on the left. Through that door is another stairwell, this is the public stair access to the garage. Proceed down the stairs to parking garage level 2.
From the 1st floor Roberts hallway, go to the end of the hall leading North. Exit through the last door on the left. Be aware that this door will lock behind you, and you will need a building master key to re-enter through this portal. Proceed down to Parking Garage Level 1. You will need the keys from the Management Associate’s desk to open this door.
From the 2nd floor Roberts hallway, exit through the emergency exit door close to the control booth. Be aware that this door will lock behind you, and you will need a building master key to re-enter through this portal. Proceed down to Parking Garage Level 1. You will need the keys from the Management Associate’s desk to open this door.
The Calderwood Pavilion is not equipped to be a long-term shelter in place facility in the event of a very rare tornado. There is not a restroom in the parking garage.
2.5 Blizzard
Being in New England, the occurrence of a blizzard is not uncommon. Closure of the building is dependent on local officials declaring a state of emergency, and the status of the MBTA. Expect that when the MBTA is not running due to inclement weather, we are closed.
In the wintertime, continued heat to the building is not an immediate concern. When the heating system is running and the power goes out, the system defaults to heating coils within the HVAC system to maximum to prevent pipes from freezing, as well as the building occupants. Keeping the building warm and toasty as long as the facility has power has not been an issue.
By contract, Atelier 505 is responsible for snow removal for the front and back doors.
If there is significant snow accumulation, consider shoveling off the top of the marquee if it is warranted, but there is often not a need for this.
After Winter Storm Kenan in January 2022 where Boston broke its single-day snowfall record, no action was required in response to the storm’s aftermath. The building was closed and unmanned during the worst of the storm. Atelier 505 did a phenomenal job of plowing snow and salting the sidewalks.
2.6 Flood
Flooding is uncommon, but certainly possible in our neighborhood. Given the Calderwood’s positioning on a slight hill above most of the rest of the neighborhood, other buildings in the immediate vicinity will flood before the Pavilion. Exhaust and drains from the Atelier parking garage will flood first given the building’s design. If more significant flooding occurs:
Sand bag the front doors to the building with whatever is available.
Set up a second line of defense by sand bagging the inner doors where the tile meets the carpet. More significant damage can occur inside the theatre lobby rather than the tile floor of the box office lobby.
If notified by local government, evacuate immediately. If able, watch or listen to local news outlets to be prepared in advance of an emergency evacuation.
If waters are expected to exceed 4ft, the computer equipment in the Box Office and First Floor Sound Booth should be moved to the 2nd or 3rd floor of the building. Cut power to any other electrical equipment on the first floor, including all receptacles. Breakers for all first floor equipment is located in the first floor sound booth.
2.7 Extreme Heat
The Calderwood does heat up quickly, so we notice weather on hot days early in the day. Here are some things to note with extreme heat:
Check electrical rooms (both dimmer rooms) to be sure that these rooms are keeping cool. Inspect air conditioning to ensure that these critical spaces are below 75ºf at all times.
2.8 Extreme Cold
Historically, this has not been a huge issue. The Calderwood was designed with cold temperatures in mind. Please take note of the following in an extreme cold situation:
Our weakest point when the weather is cold is the Box Office Lobby, the only space without forced air heating. There is a radiator beneath the fire panel that generate enough heat for the space to keep any pipes from freezing. In advance of these cold days, open the door to this unit so it has maximum efficacy. There is a water pipe in the soffit directly above the box office windows.
The HVAC automation system is programmed so that the system will automatically kick on when any space is below 40ºF. The HVAC system should be closely monitored when exterior temperatures are considered extremely cold.

On this side of the US, earthquakes are not a major concern, but a possibility. Take these steps in response to a sudden earthquake:

Injury of an Employee
In the event of a small / minor injury:
Familiarize yourself with the location of the first aid kits in the building:
Backstage hallway at the end of the hallway by Warren Ave door, as well as near the loading dock door
On-Stage in the Wimberly, downstage left
In coat check, underneath the countertop
Second floor green room / kitchen
If a first aid kit is low on supplies, please notify a building staff member
Before cleaning a wound or applying a bandage, wash your hands with soap and water.
In the event of an injury that requires medical attention, please familiarize yourself with the Injury Procedure document, which is on the next page. If you are in immediate need of medical assistance, always dial 9-1-1.
The Calderwood Pavilion is equipped with one AED. It is located within coat check, and because of that, coat check is never locked. It is important for all building personnel to know the location of the AED. Some Huntington staff have been trained by the Red Cross and certified in CPR and AED usage.
Supervising staff after an injury is under control should fill out an Incident Review Form, which is available on HTCSafety.org under the Injury & First Aid tab.

Injury of a Patron or Visitor
In the event of a major medical emergency of anyone on the premises, dial 911 immediately. If a patron refuses medical treatment, do not dial 911 to avoid unwanted ambulance fees they may occur.
The House Manager or Calderwood Pavilion Manager should be notified of any ongoing medical incident or injury. The most important response as a facility is to inspect the area where the incident occurred to maximize safety, and take note of anything that is out of place. Example: if the floor is wet, and someone slipped on it, dry the floor.

After the incident, the House Manager or Calderwood Pavilion Manager should fill out the Patron Incident Report. This report should be given to the Calderwood Pavilion Manager to be archived.
Utility Loss
This written information is designed to assist Calderwood Pavilion staff in the event of a power outage. If you are In the building during utility loss, an action plan will be communicated to you by staff members.
Power Outage <1hr
If offsite for this outage, the Alarmex security system should notify Calderwood Management of an outage when it switches to backup battery.
In the event of a short-term power outage, note the following:
Immediately notify the IT department of the outage, as critical computer systems for our business are on-site.
The HVAC system will turn off.
Emergency lighting should engage.
Flashlights are available in coat check if necessary.
If an outage occurs during a performance, evacuate the theatres.
Backup batteries will engage for critical systems. These batteries will last no longer than 3 hours.

Power Outage >1hr
In the event of a lengthier power failure, there are additional steps that should be taken to secure the building.
If it’s wintertime, continued heat to the building is not an immediate concern. When the heating system is running and the power goes out, the system defaults to heat on at maximum to prevent pipes from freezing, as well as the building occupants.
After ~1hr, the backup battery to the electromagnetic door locks ceases to function. A mechanical lock will need to be installed until the power comes back on.
For the front doors: Chains and padlocks work best for this purpose. Chains can be found in the backstage tool storage closet, and padlocks can be borrowed from the tool room (the locks that are normally used to lock up the cabinets).
For the back door, this is not a magnet. The door will lock automatically. A master building key can open this door from the exterior.
For the loading dock doors – leave this door unlocked. This will be the only secure entrance to the building.
Backup batteries for critical systems will begin to die around the 3 hour mark.
Fire system magnetic door locks – doors will close
Lighting consoles and house lighting systems – if the power outage will be lengthy, shut off these systems to avoid data loss and corruption
Sound consoles - if the power outage will be lengthy, shut off these systems to avoid data loss and corruption
Emergency lighting will begin to die out as the batteries deplete, so carry a flashlight with you
